How to Participate in a Planyard RFQ Process (Subcontractor and Vendor Guide)

In this guide, you will find a walkthrough of the bidding process for subcontractors and vendors participating in a Planyard RFQ

Participating in a Planyard RFQ process is designed to be simple and efficient, ensuring that subcontractors and vendors can submit their bids with ease. By using Planyard, you benefit from a streamlined process that reduces the risk of errors and ensures all your bid details are accurately recorded. Follow the steps below to submit your bid seamlessly.

  1. Access the Documents: Click on the link “Bid sheet and documents can be found here” provided in the email to go to the landing page where you can access all the documents supplied for this bid. This includes the bid submission template and any other documents provided by the company running the bid.
  2. Download the Bid Submission Template: On the landing page, download the bid submission template titled “Bidding List of Items Spreadsheet (RFQ Name)”. Note that we only accept submissions in the XLSX format.
  3. Filling Out the Template: You will only be able to enter information in the cells with a beige background. These are the designated fields for you to input your quantities, prices, and comments. 
  4. Submitting Your Bid: Once you have completed the template, go back to the initial email and click the button that reads “Upload your bid sheet here” to submit your bid. Ensure your bid is submitted before the deadline mentioned in the email.
  5. Supported Software for XLSX File:
    • Microsoft Excel: Fully supports XLSX files and offers comprehensive features for editing. Note that Microsoft Excel 2007 and later versions support XLSX files. Older versions of Excel (2003 and earlier) do not natively support XLSX files and require a compatibility pack.
    • Google Sheets: An online tool that supports XLSX files. You can upload the file to Google Drive and edit it using Google Sheets.
    • LibreOffice Calc: A free, open-source office suite that supports XLSX files.
    • Apple Numbers: Apple’s spreadsheet software supports XLSX files and is available on macOS and iOS devices.
  6. If You Don’t Have Compatible Software: Google Sheets (Free): You can create a free Google account if you don’t already have one. Then, upload the XLSX file to Google Drive and edit it using Google Sheets.
    • LibreOffice (Free): Download and install LibreOffice from their official website (https://www.libreoffice.org). Once installed, you can open and edit XLSX files using LibreOffice Calc.
    • Microsoft Excel Online (Free): If you have a Microsoft account, you can use Excel Online for free by logging into your account at https://office.com and uploading the XLSX file.
    • Compatibility Pack for Older Excel Versions (Free): If you are using Microsoft Excel 2003 or an earlier version, you can download and install the Microsoft Office Compatibility Pack, which will allow you to open, edit, and save XLSX files.
